Overview

Motion Project Planner is the team-scope job inside the Motion platform: coordinate multiple projects across multiple people, and know weeks ahead whether the work will land on time.

Motion's AI project layer takes projects, tasks, dependencies, and each team member's capacity, then auto-schedules the plan across the team. When a task takes longer than expected, the downstream effect ripples through the plan automatically; when a blocking task is finished, the next task moves forward without manual reassignment. That is the mechanism behind the vendor's headline claim that projects get done faster because there is no idle time between steps.

Two things distinguish this from a simple to-do list. First, it predicts project completion against deadline based on capacity and everything else in flight, and flags at-risk projects early instead of at handover. Second, it balances workload across the team, so no one silently ends up over-capacity a month ahead. A Gantt view and dashboards give managers visibility into what everyone is working on without chasing daily status.

Project Planner is not the personal day-planning product; that job belongs to Motion Daily Planner. This page fits teams juggling multiple projects and deadlines, not a single person trying to plan tomorrow.

Best for

Agencies, product teams, and operations leaders running multiple concurrent projects who want visibility into delivery risk without daily standups and manual status chasing.

Choose the Project Planner when the job is coordinating multiple projects and people: shifting deadlines, cross-department handoffs, capacity planning, and needing to know weeks in advance whether a project will land on time.

Helps with: AI project scheduling and re-planning, deadline-risk prediction, workload and capacity balancing across a team, automatic handoffs between blocking tasks and departments, a Gantt view, project dashboards and analytics, and visibility into what every team member is working on.

Not ideal for

It does not replace project leadership, client conversations, or scoping decisions, will not fix chronic under-scoping or unrealistic estimates, and is more platform than a single individual normally needs. For personal day planning, Motion Daily Planner is the smaller-scope fit.

Pros

  • AI Project Manager with automatic prioritization across a team
  • Predicts project completion vs deadline and flags at-risk projects early
  • Capacity planning across team members
  • Auto-handoff between blocking tasks and departments
  • Gantt view and dashboards
  • Reduces standup and status-chasing overhead
  • Shares one system with tasks, calendar, and meetings

Cons

  • Requires accurate scope, duration, and dependency data
  • Subscription required and priced per user
  • Team members must actually keep their work updated
  • More overhead than a single-user to-do or day planner
  • Change management is real for teams already invested in another PM tool
